The challenge

A contractor running a large fleet and equipment across field sites needed a reliable way to control diesel issue, prove every fuelling, keep periodic maintenance on schedule and detect abnormal consumption — without losing records when the site network is weak.

What we built

We built an offline-first system: the driver logs each fuelling with a QR code, photos and location; the record is kept on the device when the network drops and sent automatically once it returns. The dashboard handles review, approval and periodic maintenance scheduling, with alerts, consumption reports, Excel export and a live fleet map.

The result

A clear control system that reduces manual logging, makes fuel spend visible, and helps management catch waste and manipulation early from one dashboard.

01Diesel system

**One platform, two systems**From the same account, users choose between the diesel system — fuel, tanks, drivers and daily operations — and the preventive maintenance system — workshop, fault reports, work orders and stock.

**Operational dashboard**What needs attention now: operations awaiting approval, alerts, critical tanks, meters needing repair, and fuel issued today against the previous period.

**Fleet map**Each vehicle’s last fuelling location, updated with every operation, plus a list of vehicles fuelled without a GPS location.

**Operational reports**Reports ready to print or export to Excel: consumption, fleet, tanks and tanker reconciliation, and by vehicle, department, site or area.

02Preventive maintenance

**Maintenance due**Equipment whose maintenance is close or overdue by distance or operating hours, with a maintenance order one click away.

**Work orders**Every work order moves through awaiting approval, awaiting a technician, under repair, final approval and closed.

**Maintenance schedules**A recurring schedule for each equipment type — every set distance, operating hours or months, whichever comes first — with an early warning before it is due.
